We are looking for a dedicated, responsible, energetic and hard-working person who is detail-oriented, systems driven and proactive. You must be able to recognize how you can provide support without someone directly telling you.

Duties of the Administrative Assistant include being able to provide support to the team members that include employees and their managers. This support can be daily tasks or even managing a company’s general administrative activities.

Responsibilities

  • Answering telephones, taking and relaying messages and clearly and accurately communicating with the people you support.

  • Successfully coordinating and scheduling appointments while maintaining various personal and business related calendars.

  • Reviewing, planning, and scheduling meetings while being able to take detailed meeting notes.

  • Monitor incoming heavy email usage. Administrative Assistants must be able to organize their e-mail usage so that it doesn't overwhelm them. Don't worry, we will train you how to do this.

  • You will be responsible to write and distribute email, correspondence memos, letters, forms, etc.

  • You will be in charge of order and data entry. Any data entered goes to several different vendors so accuracy is a must.


  • Assist in the preparation of regularly scheduled reports such as submitting and reconciling expense reports.

  • Being able to stay organized while possibly updating, maintaining, and developing filing systems, company policies, procedures, etc.

  • Other administrative tasks such as ordering office supplies and researching new deals and suppliers.

  • Other assistant tasks like maintaining contact lists and booking travel arrangements.

  • The key responsibilities of this function are to provide exceptional support to clients and customers, be quick to respond to questions and troubleshooting concerns to ensure customer satisfaction.

  • Problem Resolution. Team members must be hands-on in solving issues that arise during the day.


  • You will be in charge of directly communicating with our customers and clients as the point of contact for our business.

  • Review Information from multiple parties. Throughout the day information flows from co-workers and vendors regarding service issues and capacity. These must be addressed and resolved daily. Handle requests and queries from the people you support.

  • Other duties as assigned by the client and or company you support.

Minimum Qualifications

  • High School Diploma/GED required.

  • Knowledge of Office Management Systems and procedures.

  • Proficiency in MS Office and Google tools (docs, sheets, slides, etc.).

  • Excellent time management skills and the ability to prioritize work.

  • Skilled in writing and editing content with an attention to detail.

  • Excellent communication / English skills (speaking and writing).

  • Be able to work independently.

Preferred Qualifications

  • 1-2 years of experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant.

  • Decision-making skills: Administrative Assistants have to make independent decisions on a daily basis, addressing the best way to handle specific tasks.

  • Flexibility and the possibility to jump in to help when needed.

  • Basic knowledge of client specific information such as economic and legal legislation.

  • Proven teamwork skills and experience working in a team.

  • Strong communication and presentation skills.

  • Stress-tolerant nature necessary to consistently, calmly and effectively responding to demanding, crisis and emergent situations while maintaining self-control and composure.
